Client and Business Context: Enhancing Efficiency and Participant Reach for Decentralized Trials
The client, a global leader in healthcare innovation, faced significant challenges in clinical trial operations. Routine tasks such as explaining consent forms, collecting vital signs, and addressing participant inquiries was proving time-consuming for trial coordinators, leading to inefficiencies and increased costs. The manual, centralized nature of trials also limited geographical reach and participant diversity, restricting the scale of trial execution.
These challenges underlined the need for a transformative solution to streamline operations, reduce costs, and enhance participant engagement while accommodating the evolving needs of clinical research.
Challenges: Addressing Efficiency Bottlenecks in Repetitive Tasks
To effect a successful transformation, it was important to clearly understand the problem. For the client, these challenges spanned operational inefficiencies, limited trial diversity, and high costs. Understanding these barriers was the first step toward creating a more effective trial ecosystem:
- Coordinator Workload: Overburdened with repetitive tasks, trial coordinators faced reduced efficiency and heightened operational friction. Their ability to focus on critical, value-added responsibilities was significantly impaired.
- Centralized Operations: Mandatory site visits for trial participants restricted geographic reach and diversity in participant pools. This limitation hindered the inclusion of underrepresented demographics in trials, reducing their comprehensiveness.
- High Costs and Inefficiencies: Manual processes, including data entry and participant travel, escalated operational expenses and risked delays. Resource-intensive activities consumed time and introduced opportunities for human error, compromising data accuracy and trial timelines.
Solution Overview: Redefining Trials with Digital Avatars
To address these challenges, MResult introduced an AI-powered solution featuring two digital avatars, Mia and Philip. These avatars were designed to automate repetitive tasks and offer personalized assistance, reshaping clinical trial management. Mia streamlined participant onboarding with e-consent facilitation and biometric data collection, while Philip guided participants in capturing vital signs like blood pressure and oxygen levels using voice, text, and image-based instructions. Together, they formed the building blocks of a ‘digital workforce’ that reduced human workload and enhanced participant experiences in decentralized trials.
While a realistic avatar frontend had already been identified for the project, giving these avatars contextual awareness and helping them surface information in a realistic way was the main challenge.
The implementation leveraged the following components:
- Avatar Technology: Leveraging Soul Machines technology, Mia and Philip featured human-like interactions that improved participant engagement. Conversational flows, crafted in Voiceflow and powered by Kore.ai’s natural language processing, enabled intuitive user interactions. The avatars’ design prioritized user-centric interfaces, ensuring accessibility for diverse participant demographics.
- Conversational AI: A secure, enterprise-ready generative AI platform allowed the avatars to dynamically retrieve and provide context-aware responses, particularly for informed consent documents and trial queries. This transformed them into sophisticated conversational agents capable of handling nuanced inquiries.
- Data Integration: Seamless connections with virtual clinical trial platforms, personal information management systems, and wired/Bluetooth-enabled devices facilitated the collection of vital participant data remotely. Integration with decentralized systems ensured continuity and reliability in data handling.
- Cloud Infrastructure: Hosted on Azure Cloud Services, the solution ensured scalability, security, and robust performance. The cloud-based architecture supported the solution’s adaptability to fluctuating trial demands and evolving technological advancements.
The adaptable architecture enabled rapid deployment of the avatars across various trial scenarios, significantly reducing human dependency for routine and error-prone tasks. It also provided the foundation for continuous enhancement through feedback loops and system optimization.

Business Benefits: Transformative Outcomes Across Metrics
The deployment of digital avatars revolutionized the client’s clinical trial processes, freeing up human coordinators to take on more critical activities while streamlining routine processes. The avatars became an archetype for the benefits enabled by a digital workforce in clinical trials:
- Efficiency Gains: Automation of routine tasks freed coordinators to focus on strategic activities, reducing operational bottlenecks. Time savings translated into faster trial progression and reduced overhead.
- Enhanced Participant Experience: Interactive, human-like avatars fostered trust and compliance, improving participant satisfaction. Their personalized support mechanisms ensured participants felt valued and informed.
- Decentralized Trials: Avatar-guided remote participation expanded trial reach and diversity while reducing physical infrastructure reliance and participant travel costs. This model facilitated the inclusion of diverse populations, enriching trial data.
- Adaptability and Scalability: Modular design ensured seamless integration with evolving trial requirements, laying the foundation for future innovations. The solution’s flexibility allowed for quick adaptation to new regulatory and operational needs.
- Operational Resilience: By digitizing key trial components, the solution ensured continuity in adverse scenarios, such as travel restrictions or resource constraints.
Early indicators highlight significant potential for cost reduction, increased trial diversity, and accelerated time-to-market for therapies.
Impact: Pioneering the Future of Clinical Trials
The digital avatar solution demonstrated the transformative power of AI-driven digital workforce tools. By addressing inefficiencies and enhancing participant engagement, Mia and Philip paved the way for a more inclusive, efficient, and participant-centric approach to medical research. As the solution continues to evolve, it promises to redefine healthcare innovation by delivering faster, more efficient, and participant-focused trials on a global scale.
